Introduction

This privacy notice tells you what to expect when FM Outsource collects personal information. It applies to information we collect about visitors to our website, people who contact us via the contact form, sign up to our newsletter, and people who request a content download.

Should we ask you to provide certain information by which you can be identified when using this website, you can be assured that it will only be used in accordance with this privacy notice. Information we collect

Visitors to our website

When someone visits the fmoutsource.com website, we use the third-party service Google Analytics to collect standard browsing information and details of visitor behaviour patterns. We do this to find out things like how many people visit the various sections of our site, so we can ensure it meets the needs of our users. This information is processed by Google in a way which doesn’t identify any individual visiting the website. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

If we do want to collect personally identifiable information through our website, we will always ask before doing so. We will make it clear when we collect personal information and will explain what we intend to do with it.

Use of cookies by FM Outsource

People who contact us via social media or webchat

We use a third-party provider called Gnatta to manage our social media interactions and to supply and support our webchat service.

If you send us a private or direct message via social media the message will be stored by Gnatta for no longer than is necessary. No information gathered by Gnatta is shared with any other organisations.

If you use webchat we will collect your name, email address, and the contents of your webchat session on the grounds of legitimate interest. This information will be retained for no longer than is necessary and will not be shared with any other organisations.

You can request a transcript of your webchat session by clicking the envelope icon at the top of the webchat window or by contacting FMOutsource.

People who request downloadable content

We use a third-party provider called Autopilot, to deliver requested downloadable content.

We need to hold the details of people who have requested the content to deliver it and provide updates. However, we only use these details to provide the service the person has requested and for other closely related purposes. This data is gathered on the grounds of consent, and won’t be gathered otherwise.

For example, we might use information about people who have requested a publication to contact them with additional content like the piece they requested, or to let them know when an updated version of the downloaded content becomes available. When people do subscribe to our services, they can cancel their subscription at any time and are given an easy way of doing so.

People who fill in our Contact Us form

When a ‘Send a Message’ form is submitted we will collect the name and email provided by the person completing the form, on the basis of consent. This is so we can respond appropriately to the message received.

This data is collected and stored by Gnatta and by a third-party provider, Autopilot. These services will then automatically forward the submitted message to the appropriate people within FM Outsource.

This information will be retained for no longer than is necessary and will not be shared with any other organisations.

People who subscribe to our email newsletter

When a user subscribes to our newsletter we collect their name and email address. This is so we can personalise their message and deliver the email to them. We’ll ask them to confirm their consent to us processing their data before doing so.

It is also possible for users to subscribe to our newsletter when completing our ‘Send a Message’ or ‘Download’ forms. This is on an opt-in basis, meaning users need to tick a box to confirm they’d like to subscribe. In this case, we would collect the data detailed in the ‘People who fill in our Contact Us form’ and ‘People who request downloadable content’ sections above.

We use a third-party provider called Autopilot to deliver our monthly email newsletters. We gather statistics about email opens and clicks to help us monitor and improve our newsletter. For more information, please see Autopilot’s Privacy Policy.

Your rights

Under the Data Protection Act 1998 and the GDPR, you have rights which you can exercise in relation to the information we hold about you.

Access to personal information

FM Outsource tries to be as open as it can be regarding giving people access to their personal information. You can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act 1998. If we do hold information about you we will:

  • tell you why we are holding it
  • tell you who it could be disclosed to
  • let you have a copy of the information in an intelligible form
  • let you modify the data collected
  • let you erase any data collected
